Financial Aid

Whitefield Academy is committed to accepting students for admission from diverse socioeconomic backgrounds. All aid is based on need and is available to assist families in closing the gap between a family’s ability to pay and the cost of attending. Aid is available for students applying to kindergarten-12th grade.

Need-based financial aid is awarded annually, and renewal is not automatic or guaranteed as funds may vary and a family’s finances may change. Families are required to submit applications annually. Factors such as household income and expenses, assets and debt, and the number of children in a school who require tuition are all considerations in determining financial aid awards.

Steps To Apply For Financial Aid

Whitefield Academy partners with School and Student Services (SSS) to process financial aid requests. Please note that our school code is 5255. 

  • To begin the financial aid application, please:
    1. Complete the Parents’ Financial Statement (PFS) through SSSFor new families, the application and all supporting documents must be submitted by February 27, 2024. For returning families, the deadline is December 31, 2023.
    2. Upload the following documents into your ‘My Documents’ section of the PFS:
      • Copy of your 2022 and 2023 tax returns, including all schedules (if 2023 tax return is incomplete at the time of the application due date, 2022 returns alone will be accepted).
      • Copy of each wage earners final pay stub showing year to date earnings for 2023
      • Copy of all 2022 and 2023 W-2’s
  • If parents are divorced or separated, both parents must complete the PFS and provide the required tax information.
  • Once you have completed the PFS and submitted the required documents, SSS will submit a dollar amount to Whitefield Academy recommending an amount the parents are able to contribute to their child’s education.
  • The Whitefield Academy Financial Aid Committee will determine the amount given to each qualified applicant. Each admitted applicant will be notified of their financial aid amount in the enrollment contract on March 30, 2024.

Tuition Payment Options

A 10 percent non-refundable deposit is due with the enrollment agreement. Students will be considered enrolled once the contract and deposit are received.

There are three payment options available for the remaining balance. Payment can be made online by e-check, credit card (three percent convenience fee applies), cash, or check.

Payment options:

  • Pay the balance in one full payment.
  • Pay the balance in two equal payments.
  • Pay the balance in nine equal monthly payments by enrolling with  VCPay (a third-party tuition management company). Payment will be automatically processed monthly from your bank account or by charging your credit card. There is a three percent convenience fee if using a credit card. An enrollment fee of $35 per student will apply.
  • A payment option must be selected at the time of enrollment.

Why Do You Need The Tuition Insurance Plan?

Your financial obligation to Whitefield Academy is for the full annual tuition as stated in your enrollment contract. The school cannot refund tuition or cancel unpaid obligations if your child is forced to withdraw during the academic year.

If your son or daughter withdraws, the Tuition Insurance Plan will refund a portion of the unused tuition (subject to the terms of the policy and the amount insured) to you, which provides substantial assistance in meeting your financial obligation.

Every year, thousands of students must withdraw from independent schools. The following are examples of reasons why:

What the Plan Covers

Withdrawal or Absence for Medical Reasons

  • The Plan will pay 50% of the unused yearly insured fees, provided the student’s injury or sickness forces the student to withdraw from school. Benefits are paid retroactive to the first day of the medical absence.
  • The Plan will pay 50% of the unused yearly insured fees, provided the student’s mental health condition, as referenced in DSM IV, forces the student to withdraw from school.

Withdrawal for Non-Medical Reasons (Move, Financial Hardship, Voluntary Withdrawal, etc.)

  • The Plan will pay 50% of the unused yearly insured fees provided the student has withdrawn from school after attending more than fourteen consecutive calendar days beginning with the student’s first class day of attendance in the academic year.

Dismissal from School

  • The Plan will pay 50% of the unused yearly insured fees provided the student is dismissed from school after attending more than fourteen consecutive calendar days beginning with the student’s first class day of attendance in the academic year.

Claims

Claims must be filed within 30 days of the date of separation. Benefits not required to settle your account with Whitefield Academy, if any, will be refunded to you.

Cost

The cost of the 2023-2024 Tuition Insurance Plan is equal to 3% of your total tuition. Written notification of enrollment in the Plan, along with the required premium payment, must be made by the first class day. No coverage will be provided if payment is not received by the first class day.

Definitions and Conditions

  • The “academic year” (referred to as “period of coverage” in the policy) upon which benefits are based consists of the actual calendar days in the school year (including weekends, holidays, and vacations) beginning with the first day of formal academic instruction (excluding pre-season athletic practice, orientation, and graduation days) and ending with the last day of formal academic instruction, including examinations.
  • “Withdrawal or absence for medical reasons” means complete, involuntary severance from classes as certified to and regularly treated during the period of coverage by a legally qualified medical practitioner, not related to the student.
  • “DSM IV” is the American Psychiatric Association’s Diagnostic and Statistical Manual.
  • “Dismissal” means complete, involuntary severance from classes by the school authorities for scholastic or disciplinary reasons for the balance of the academic year.
  • “Unused yearly insured fees” means the portion of the insured fees paid or payable by the insured student/parent for the remaining time in the current school year after the student’s withdrawal or dismissal. (i.e., the prorated tuition insured from date of separation to the end of the academic year.)

Period of Coverage

  • Medical: From August 1 through the last day of the academic year.
  • Non-Medical/Dismissal: For the entire academic year after meeting the 14 day attendance requirement.

Late-entering students who commence classes after opening day may enroll in the Plan provided the premium is paid within 10 days after starting classes. Medical coverage begins on the date the premium is received. Non-medical coverage is effective after the student has satisfied the 14 day attendance requirement.

Exclusions (Not Covered Under the Plan)

Medical Withdrawal or Absence Due to:

1. war or any act of war or terrorism

2. taking part in a riot

3. pregnancy and/or childbirth

4. use of any drug, narcotic, or agent which is similarly classed or has similar effect unless given by and while under the care of a doctor

5. suicide

6. alcoholism or use of alcohol

7. nuclear reaction, radiation, or radioactive contamination

8. failure to attend classes for any reason other than injury or sickness

9. injury or sickness for which medical care was received within 180 days prior to the effective date.

Withdrawal for Non-Medical Reasons or Dismissal Due to:

1. being inducted into the armed forces or being assigned alternative duty in lieu of active military service

2. any hostile or warlike action or terrorism

3. rebellion, riot, or civil commotion

4. any order of a de jure or de facto governmental or sovereign power directed to the student

5. nuclear reaction, radiation, or radioactive contamination

6. destruction of any school facility due to any cause

7. inability of the school to operate and provide formal academic instruction including closure for any reason

8. temporary non-medical absences, suspensions, or schedule reductions

9. boycotting of classes by the student

10. completion of academic requirements or early graduation

11. any withdrawal or dismissal prior to or within the first fourteen consecutive calendar days beginning with the student’s first class day of attendance in the academic year.

Note:

  • Medical benefit period ends immediately upon the student’s resumption of classes at any school or upon becoming gainfully employed.
  • For medical withdrawals, coverage ceases on the last day of formal academic instruction by the school due to any reason.
  • Withdrawal or dismissal must result in the loss of scholastic credit at the school.

Additional Fees

In addition to tuition, families may have to pay for additional costs to attend Whitefield Academy. We want to be transparent and help you budget for the upcoming school year. Below are some of the additional fees a family may incur:

Uniforms
Students can purchase new uniforms through the campus store. The Whitefield Parent Association also offers several Used Uniform sales throughout the year as a resource to families.

Textbooks
Textbooks are included in tuition for students through fourth grade. Students in fifth through 12th can expect costs between $275 and $400 for textbooks.

Supplies
School supplies are included in tuition for students in PreK. Kindergarten through 12th grade students will receive their school supply lists during the summer prior to the start of school.

Sports Fees
Sports fees vary based upon sport. Learn more about athletic opportunities at Whitefield Academy.

Technology
Classroom technology is provided to students through grade 6. Laptops are required for students in seventh through 12th grade and must be provided by the family. Whitefield does not require one specific brand of laptop, however necessary programs and specifications are provided to students during the summer prior to starting school.

After-School Programs or Cub Care fees for Lower School Students
Aftercare (Cub Care) is available to students in PreK through fourth grade. During Cub Care, students play with friends on the playground, enjoy a snack, work on themed craft projects, or complete homework. In addition to after-school care, Cub Care is available on late-start Wednesdays and parent-teacher conference days. Click here to learn more about Cub Care.

Travel and Retreats
During the school year, students will participate in both required and optional travel experiences. The costs for these experiences vary based upon the length of trip and location. Many of our school day field trips are included in the cost of tuition.
