Purpose
The purpose of the Book Exchange is to provide Whitefield families with good quality used textbooks without significant expense. All students/families are encouraged to participate.
Program Outline
The program is generated by the "turn-in" of books from the current year. Each qualifying book is assessed and given a value. The total accrued value of each student's books is
recorded on a receipt as credit and can then be used for the "purchase" of next year's books.
Example:
After 2 exams, Mrs. Jones turns in 6 textbooks used in the 10th grade and being used again. One of the 6 books contains significant graffiti and is not accepted as a qualifying
book. Of the 5 qualifying books, 4 are assessed at $20.00 each; and 1 is assessed at $10.00. She is given a “credit receipt” for the books with a total accrued value of $90.00.
She also has 3 novels. One is not in good condition, so cannot be accepted into the Exchange. She receives a second “credit receipt” for $6. She now has $96 in credit. She is
also given a number which determines how early she may trade on Friday. First to turn in will be first to trade!
During the “Trade Only” period, Mrs. Jones is given the list of 11th grade books needed for next year. On the list, 1 book is new (must buy on-line); but the remaining 7 books
were used the previous year, so they may be in the Book Exchange. She is allowed to get 5 books during “Trade Only” since she turned in 5 this year. She uses her “credit receipt”
to get these 5 books. Each was in valued at $20, so her amount due is $100. She uses her credit of $96 and pays $4 in cash. Next, she waits about 45 min. while other families
go through “Trade Only”. Then, she reenters the Exchange during “Purchase Time” to look for the remaining 2 books she needs and any novels she may wish to purchase. She may use
credits from last year, cash, or a check.
Questions & Answers
- How is the value of a book determined? Each book is assessed and given a value of either $20 (excellent or good condition) or $10 (fair but acceptable condition). Some
AP level books are $40. Paperback novels are $3.
- What is the definition of a qualifying book? A qualifying textbook is one that appears on the curriculum list for the next year and is in excellent to fair condition.
Excessive graffiti, severely damaged covers, missing pages, etc. will disqualify the book. Acceptance of a book will be at the discretion of the coordinator(s). Please check your
books carefully before presenting them for trade. Also, please encourage your children to take care of their books so they may be used again. The number of books accepted will
be based on upcoming enrollment and anticipated need. A qualifying novel will be in good condition.
- Are all required books guaranteed to be available for the program? No. Only the books turned in by re-enrolled families at the end of the year will be available. This
may mean all, some, or no books will be available. Family participation will determine availability; and a large percentage of the WA community does participate!
- Shouldn't I save my books for other siblings? On average, books change every 3 years (faculty periodically chooses more current textbooks). By not turning in books during
the Book Exchange, you may risk having a book sit for 1-2 years when it could be used by another student. Then, quite likely, when your child reaches that grade in the future,
the textbook may no longer be used.
- Who may participate in the Book Exchange? Any returning (re-enrolled) or new student/family of Whitefield Academy is eligible to participate. Books will be available
on a first-come, first-served basis, according to the following priority:
- Re-enrolled students/families of Book Exchange workers.
- Re-enrolled students/families of faculty /staff who turn in books Wed. or Thurs.
- Re-enrolled students/families who turn in books on Wed. or Thurs.
- Re-enrolled students/families who turn in books on Fri.
- Re-enrolled students/families who do not turn in any books.
- New students/families.
Please note that families who turn in textbooks early (Wed. or Thurs.) will have a lower number and therefore be allowed into the Book Exchange before those who turn in all their
books on Thurs (resulting in a higher/later number). Receiving books early allows the Book Exchange to have more books organized and ready on Fri. Please do not send your child
to turn in or get books since their finals may conflict with the designated times.
- What is the “Trade Only” time? During the first 45 min., the Book Exchange is truly a “trade only” time – for textbooks only. For example, if you turned in 5 textbooks
(this year’s books only), you may get 5 books during "Trade Only", even though you may need a total of 9 books. No novels will be available for purchase during “Trade Only.” Next,
you will wait until others have gone through their turn for "Trade Only". The "Trade Only" time goes quickly. While you wait, please take your books to your car since the next
step will require empty hands! Previously acquired books will not be allowed back into the Exchange.
- What is the Trade/Purchase time? In the above example, you reenter, based on your number, to purchase (or use “credit balance”) the remaining 4 books you could not get
during “Trade Only” time. You may now also purchase novels. For those arriving later in the morning, they will trade and purchase, although book selections diminish as the morning
progresses.
- Can I buy a duplicate copy of the same book during Purchase Time? No, if you’d like a 2nd copy of the same book, please wait until 9:30 or later. We want to give all
Whitefield families the opportunity for obtaining at least 1 copy of needed books and don’t want books completely depleted by families trading or purchasing duplicate sets.
- If a student is entering 6th grade, is it possible to participate in the program? Yes. Since rising 6th graders have no books to turn in, they may purchase used books
with cash or check. Current 5th grade families may preorder books according to information sent in Thursday homework folders. Your filled order needs to be picked up in the Athletic
Center on Fri. May 27th, 9:30-11:30 am. Please make arrangements now for book pickup!
- What happens to unused credit? For books turned in, if the accrued value exceeds the value of books "purchased," then the remaining amount may be carried over to the
next year or transferred to another student/family.
- Does any money change hands? If books are available and if the accrued credit value is less than the "purchase" amount needed, the difference will be paid in cash or
a check made payable to WA.
- How will the credits be issued and redeemed? A written receipt will be given at the time books are turned in. This credit is then redeemed for purchases. Any credits
remaining will be noted on a new receipt. Families are responsible to keep up with this receipt for future transactions. The WPA does not have the ability to track credits from
year to year.
- Can I send someone else to turn in my books? Since all families receive a number when they turn in books and that number determines when they may enter the Exchange,
you or someone from your family must turn in your books. Once you have a number, you may have someone else turn in additional books on your behalf.
- When and where do I turn in books? You are encouraged to turn in books as soon as they are no longer needed for studying (Wed. 5/23 8:15am) to allow the Book Exchange
to have as many books as possible ready for exchange on Fri. Books may be turned in Wednesday May 23 8:15-11:30, Thursday May 24 8:15-11:30, and Friday May 25 7:30-11:30 during
finals week in the Athletic Center.
- When and where will the Book Exchange take place? On Fri., May 25th 7:30-11:30 in the Athletic Center. Please refer to the Whitefield website and to mailers sent mid-May.
Even with a high number of books in the Exchange, you should arrive early for the best selection. We encourage everyone to stay after the "Trade Only" time and then reenter the
Book Exchange to purchase remaining needed textbooks or novels, either with cash or credit. The entire process, "Trade Only", then "Purchase Time", is usually over within 90 minutes;
so it is well worth the wait.
